To reserve an event on the church calendar:
The Key holder is the person responsible for making sure the building is locked and armed before leaving. If you are not the last ministry group to leave the building, make sure another ministry group knows that they are the last ones in the building. Don’t just assume they know they are.
If you need approval for a new event or ministry, please speak to the pastor over that ministry area:
* Pastor Matt Reed – Adult Ministries
* Pastor Shawn Catalano – Student Ministries
* Betty DiMarco – Children Ministries
* Pastor Frank DiMarco – New Families
* Karen Denaro – Minister of Worship
* Mark Lingerman – Administration/Building
Once approval is given for the event or meeting to take place, the following need to happen.
1. An “Event Request Form” needs to be filled out. This form is located in the Ministry Room or Copier Room on the wall in bins labeled “Event Request Form.”
* If your ministry meets multiple times, put the additional dates on the form in the date field; you do not need to fill out additional forms.
* If your ministry has an event time and separate practice time, please use separate forms for each. This makes its input into the church calendar easier to understand.
2. If you can’t get this form, please email Jenn at jennifer.rigney@gcbc.org so the form can be emailed to you. This form cannot be typed on, but if you get all the necessary details to her in an email, the email will act as the Event Request Form. If your email is missing information, your event cannot be booked until all the information is provided. Rooms are available on first-come/first-booked basis.
3. Once the form is filled out, either drop it off in the main office or mail it in. Keep in mind that, depending on the night, space can be limited.
If you have any questions, please call the church office at 496.4372. To have additional information put in the description box on the online calendar, use the “miscellaneous” box at the bottom of the Event Request Form. Write out the description in this box.
Please remember to check the online calendar to make sure the information is correct. People do go to this resource to check for cancellations, and new people to the church look to this for information.

NOTE: Just because you see an open room that appears not to be in use is not a good reason to take it upon yourself to occupy the space. A room that is not posted to the general public may not be in use for a specific reason. We’ve had occasions when someone saw an unoccupied room and used the space only to find out that the room was reserved later that night and a conflict arose. To avoid this in the future, please remember to reserve your rooms and occupy only those rooms.
